【摘要】:Thisdocumentwillhelporganisationstoensurethatevidence(records)ofbusinessactivitiestransactedthroughbusinesssystemsareappropriatelyidentifiedandmanaged.Specifically,itwillassistorganisationsto:?understandprocessesandrequirementsforidentifyingandmanagingrecordsinbusinesssystems;?developrequirementsforfunctionalityforrecordstobeincludedinadesignspecificationwhenbuilding,upgradingorpurchasingbusinesssystemsoftware;?evaluatetherecordsmanagementcapabilityofproposedcustomisedorcommercialoff-the-shelfbusinesssystemsoftware;and?reviewthefunctionalityforrecordsorassesscomplianceofexistingbusinesssystems.Itdoesnotprovideacompletespecificationbutratheroutlinesanumberofkeyrecordsmanagementrequirements,withrecommendedlevelsofobligation,whichcanbeusedasastartingpointforfurtherdevelopment.Asoutlinedinthedocument,organisationswillstillneedtoassess,amendandselecttheirrequirementsbasedontheirbusiness,technicalandjurisdictionalenvironmentsandconstraints.ThisModuleonlyaddressesrecordsmanagementrequirementsanddoesnotincludegeneralsystemmanagement.Designrequirementssuchasusability,reporting,searching,systemadministrationandperformancearebeyondthescopeofthisdocument.Italsoassumesalevelofknowledgeaboutdevelopingdesignspecifications,procurementandevaluationprocesses,thereforetheserelatedissuesarenotcoveredinanydetail.Requirementsforthelong-termpreservationofdigitalrecordsarenotexplicitlycoveredwithinthisdocument.However,theinclusionofrequirementsforexportsupportspreservationbyallowingtheexportofrecordstoasystemthatiscapableoflong-termpreservationactivities,orfortheongoingmigrationofrecordsintonewsystems.WhiletheguidancepresentedinthisModuleshouldbeapplicabletorecordsmanagementinhighlyintegratedsoftwareenvironmentsbasedonservice-orientedarchitectures,suchscenariosarenotexplicitlyaddressed.Similarprinciplesandprocesseswillapplyinsuchenvironments,butadditionalanalysiswillberequiredtodeterminewhatprocessesanddataconstitute,acrossmultiplesystems,therequiredevidenceorrecordofanyparticulartransaction.Useoftheterm’system’inthisdocumentreferstoacomputerorITsystem.Thisisincontrasttotherecordsmanagementunderstandingofthetermthatencompassesthebroaderaspectsofpeople,policies,proceduresandpractices.Organisationswillneedtoconsiderthesewideraspects,andtoensurethatfundamentalrecordsmanagementsupportingtoolssuchasdispositionauthorities,2informationsecurityclassificationsandarecordscultureareinplace,inordertoensurerecordsfrombusinesssystemscanbeappropriatelymanaged.
